Administrative and Commercial Assistant

Full-time 37.5 hours per week

Based at Ochiliview Park, Stenhousemuir, FK5 4QL

Role purpose

To support the administrative function of the Football Club and to optimise income from commercial activities, plan and report to improve every season

Background

Stenhousemuir Football Club was formed in 1884 and has been a part of the local community for over 130 years. In more recent times the club changed its legal status to a Community Interest Company (CiC), the first professional football club in the UK to do so, this change ensured that the club would be protected from private ownership and remain fully committed to the local community. The club has one of the largest community programmes of any club in Scotland, with around 500 people from the local community taking part in football and fitness sessions each week, over 10,000 people involved annually and approximately 250,000 visitors to Ochilview Park each year. Stenhousemuir FC is looking to continue to grow as a club, maintain and foster new links with local community and business, with Ochilview seen as a positive welcoming community hub that serves and inspires the local community.

Previous front of house experience

Skills Strong IT skills including use of all Microsoft software

 Roles and Responsibilities

Administration & Finance (30%)

Tasks

  • Answers all calls and customer enquiries
  • Deals with all petty cash
  • Calculates the money brought in to bank it weekly
  • Supports the community programme administration
  • All other clerical tasks

Hospitality & Events (30%)

Tasks

  • Takes all hospitality bookings & payments
  • Issues hospitality paperwork (itinerary, invoice, receipt etc)
  • Arranges catering for each match and club events
  • Front of House on match days to welcome all hospitality guests
  • Calls all hospitality guests the week after their visit to gain feedback on their experience

Catering (20%)

Tasks

  • Places all food and drink orders for the club to cover hospitality, match day catering and any specific requirements relating to bookings
  • Creates floats and liaises with catering staff in preparation for each game
  • All banking tasks associated with match day catering

Commercial Activities & events (10%)

Tasks

  • Promotes and sells perimeter boards, team sheets, programme & website advertising
  • Promotes and sells player sponsorship
  • Promotes and sells season tickets
  • Promotes and sells hospitality
  • Promotes, advertise and helps to coordinate club events and fundraisers

Facility Bookings (10%)

Tasks

  • Takes all casual bookings
  • Takes enquiries for full pitch bookings
  • All banking tasks associated with facility bookings
